Refund & Cancellation Policy

At Alfa Smart Learning, we are committed to delivering a high-quality learning experience. We understand that circumstances may change, and we offer a transparent refund and cancellation process to ensure your confidence in every purchase.

1. Cancellation & Refund Window

We provide a 3-day (72-hour) cancellation window from the date of purchase for eligible transactions. During this window, you may cancel your purchase and request a full refund of the amount paid.

  • Eligibility Window: You must initiate the cancellation within three (3) calendar days of your initial successful payment date. The system automatically calculates eligibility based on the time elapsed since purchase.
  • Applicable To: This policy applies to Premium Subscription plans and Classroom Enrollment fees (both one-time and monthly).
  • Configurable Window: The cancellation window may be adjusted by our administration from time to time. The applicable window at the time of your purchase will be honoured for your refund eligibility.
  • Renewals: Monthly classroom subscription renewals are also eligible for the 3-day refund window, calculated from the renewal date.

2. OTP Verification for Cancellation Requests

To protect your account from unauthorised cancellations, all refund and cancellation requests require email-based OTP (One-Time Password) verification before processing.

  1. When you initiate a cancellation, a 6-digit verification code is sent to your registered email address.
  2. You must enter the OTP within 5 minutes of receiving it. Expired codes must be re-requested.
  3. You have a maximum of 5 attempts to enter the correct code. After 5 incorrect attempts, you must request a new OTP.
  4. A 30-second cooldown applies between OTP re-send requests to prevent misuse.
  5. Only after successful OTP verification will your cancellation be processed.

Why OTP Verification?

OTP verification ensures that only the account holder can initiate a cancellation or refund. This prevents unauthorised access and protects your purchases and active enrollments from being cancelled without your knowledge.

3. How to Request a Cancellation & Refund

A. Cancel a Premium Subscription

  1. Go to your Profile page from the dashboard.
  2. Under the Subscription section, click "Cancel Subscription".
  3. The system will check your refund eligibility based on the purchase date.
  4. An OTP will be sent to your registered email for identity verification.
  5. Enter the OTP to confirm the cancellation.
  6. If eligible, the system will display the refund amount and confirm the request.
  7. Your subscription tier will be downgraded to Free immediately upon cancellation.

B. Cancel a Classroom Enrollment

  1. Navigate to the Classroom detail page of the enrolled class.
  2. Click "Cancel Enrollment".
  3. Complete the OTP verification step (same process as above).
  4. If within the refund window, the full enrollment fee will be marked for refund.
  5. Your enrollment will be deactivated and the classroom's enrolled count will be updated.

4. Refund Processing & Timeline

Once a cancellation is confirmed and found eligible for a refund, the following process is followed:

Refund Requested

Your cancellation has been recorded and the payment transaction has been marked for refund. This happens automatically upon successful OTP verification.

Refund Initiated

Our admin team has reviewed your request and initiated the refund through the original payment gateway (Razorpay/PhonePe).

Refund Completed

The refund has been processed and credited back to your original payment method. You will receive a confirmation email.

  • Processing Time: Refunds are typically processed within 5–7 business days from the date of approval. The exact timeline depends on your bank or payment provider.
  • Refund Method: Refunds are credited back to the same payment method (bank account, UPI, credit/debit card) used for the original transaction.
  • Track Your Refund: You can view the current status of your refund under the "My Refunds" section on your profile page, where each refund shows its current stage, amount, and estimated completion date.

5. Exclusion of Payment Gateway & Processing Fees

While we issue a full refund of the purchase amount, payment gateway processing fees, transaction charges, and applicable taxes (including GST) deducted by the payment provider (e.g., Razorpay, PhonePe) during the original transaction are non-refundable. The final credited amount will be your purchase price minus these third-party charges. If GST was charged separately, it will be handled as per applicable tax regulations.

6. Non-Refundable Purchases

The following purchases are not eligible for refunds under any circumstances:

  • Purchases Beyond the Cancellation Window: Any subscription or enrollment where more than 3 calendar days (or the configured window) have passed since the original purchase date.
  • Free Enrollments: Classes with zero fees (free classrooms) do not involve any payment and therefore no refund applies.
  • Downloaded Materials: Standalone digital purchases such as PDF study materials, mock test bundles, or downloadable resources once access has been granted.
  • Promotional & Heavily Discounted Purchases: Purchases made using promotional codes offering discounts exceeding 50% of the original price may be exempt from the refund policy at the discretion of the administration.
  • Abuse or Violation: Refunds will be denied if the cancellation is found to be part of a pattern of abuse, repeated sign-up/cancel cycles, or violation of our Terms of Service.

7. What Happens After Cancellation?

For Subscription Cancellations

  • Your account is immediately downgraded from Premium to Free tier.
  • Access to premium content, subjects, and features is revoked immediately.
  • A cancellation confirmation email is sent to your registered email address with the refund details (if applicable).
  • Cancelling your subscription does not delete your account — your learning progress, quiz history, and profile data remain intact.

For Classroom Enrollment Cancellations

  • Your enrollment is deactivated (soft-deleted) — the admin can still view the enrollment record for audit purposes.
  • If a refund is eligible, the teacher's wallet is debited by the corresponding amount, and their original credit transaction is marked as refunded.
  • You are free to re-enroll in the same classroom at any time by making a new payment.
  • Classroom seat capacity is updated to reflect the cancellation.

8. Teacher Earnings & Refund Impact

When a student cancels an enrollment within the refund window:

  • The teacher's wallet balance is automatically debited by the credited amount for that enrollment.
  • A refund debit transaction is created in the teacher's transaction history for full transparency.
  • The teacher's original credit transaction is updated with a "REFUNDED" status.
  • If the student cancels after the refund window, the teacher's earnings are not affected.

9. Refund for Recurring Monthly Subscriptions

For classrooms with monthly fee intervals:

  • Each monthly renewal payment is individually eligible for the 3-day refund window, starting from the renewal date.
  • Cancelling a monthly subscription does not automatically trigger a refund of the current billing cycle if the refund window has passed.
  • Upon cancellation outside the refund window, you will retain access until the end of your current paid period (expiry date).

11. Amendments to This Policy

Alfa Smart Learning reserves the right to modify this Refund & Cancellation Policy at any time. Any changes will be reflected on this page with an updated "Last Updated" date. The refund terms applicable at the time of your purchase will govern your specific transaction.
